  • Job Summary:

    The Administrative Assistant provides administrative support to the Florida FFT Program.

    Essential Functions:

    • Maintains youth and program confidentiality.
    • Formulate, organize and monitor inter-connected projects.
    • Assist in providing trainings and staff refreshers in program databases.
    • Assist in the preparation of monthly state billing.
    • Coordinate various trainings and travel arrangements.
    • Supports data entry and compliance under the direction of the FFT RED.
    • Assist in the ongoing monitoring of all database systems to ensure compliance with all program requirements.
    • Schedule job interviews.
    • Assist with the new hire on-boarding process.
    • Provide follow up to ensure background and reference checks are completed.
    • Assist in the orientation of new employees to the organization.
    • Maintain inter-office files
    • Responsible for all office typing including monthly reports, office correspondence, special projects, proposals and assessments.
    • Responsible for all photocopying and collating needs.
    • Greets all visitors in a hospitable, congenial manner.
    • Answers telephone; takes and delivers message accurately.
    • Schedules and notifies staff of meetings.
    • Maintains office supplies.
    • Takes minutes at meetings.
    • Responsible for filing and maintaining filing systems.
    • Maintains awareness of staff schedules.
    • Opens and distributes mail.
    • Additional duties as assigned.

    Other Functions:

    • Able to react to change productively and handle other essential tasks as assigned.
    • Must be able to drive for company in personal vehicle as needed.

    Qualifications and Requirements:

    • Bachelor’s degree (in Human Services field preferred)
    • At least 1 year of administrative experience
    • Valid Driver's License and clean driving record.
    • Excellent keyboarding, verbal, and written skills.
    • Must be able to provide excellent telephone and in-person reception.
    • Ability to direct crisis calls to appropriate staff.
    • Knowledge of Microsoft Office software, including Excel spreadsheets.
    • Well-organized, meticulous and thorough in work habits.
    • Reliable, consistent, energetic and self-motivated.
    • Open and honest interpersonal style.
    • Clear result from a criminal background check by the Florida Department of Juvenile Justice.
    • Clear drug screen results from the organization’s designated medical facility.


    • Bilingual (English/Spanish)

    Physical Demands:

    Must be able to obtain First Aid Certification (CPR). Must be able to drive and sit for extended periods of time. Daily use of various office equipment. Bending, stooping, climbing up stairs and lifting up to 30 lbs. required to complete daily tasks

    Work Environment:

    This is an office based work environment but will be required to work in various locations within the state of Florida. Work shifts are subject to change and extended work hours may be required. Noise levels vary from mild to moderate. This position may require extended periods of time in an automobile. Exposed to prevalent weather conditions.
