  • Job Summary:

    The Operations Manager is a critical leadership role in the organization and is accountable for the success of various headquarters and regional operational functions. Their primary goal is to ensure daily operational functions are running smoothly and ensure there is coordination across departments and locations. The Operations Manager works closely with program leadership and the operations departments to ensure there is adequate and timely movement in needed projects and tasks. They report directly to the Chief Operations Officer.  This position will be located in Brownsville/Harlingen, Texas.  May require up to 30% travel.

    Essential Functions:

    • Communicates regularly with the VP, AVP and program leads to initiate, oversee and continuously evaluate the reach and effectiveness of operational support
    • Identifies and manages critical issues that impact the capacity of the region and headquarters
    • Coordinates and monitors the workflow of various projects across departments, ensuring that results are appropriate, of quality and timely in their delivery; provides technical support where necessary
    • Evaluates and makes recommendations to effectively and efficiently meet program and leadership needs through the support structure
    • Delegates tasks and accountabilities, establishes work schedules and provides regular feedback about performance of regional staff to HQ supervisors
    • Creates reports and documentation to share across teams and with leadership to demonstrate activities, improvements, and priorities
    • Responsible for ensuring that “roll out” and communication of information, systems, projects, policy, etc. is thorough and continuous
    • Develops and coordinates quality and performance improvement initiatives that reduce obstacles, eliminate redundancies and increase support for the programs
    • Monitor and manage the efficiency of support services to local programs, including IT, HR, Accounting, Finance, Risk, and other administrative support functions.
    • Creates a culture that allows for department autonomy while working to improve cross functional capabilities, coordination and communication across teams
    • Identifies and facilitates opportunities for departments to look beyond their department when solving problems
    • Provides recommendations to the COO for streamlining processes and procedures in support of regional and organizational goals
    • Serve as a financial liaison to manage financial feasibility of major tasks
    • Effectively communicates activities and shared learnings vertically and horizontally
    • Attends meetings, makes presentations, prepares and contributes to the preparation of reports, briefings and responses as needed

    Other Functions:

    • Able to react to change productively and handle other essential tasks as assigned
    • Serve as a bridge between organizational and regional priorities, effectively able to move between both and closing gaps as necessary
    • Develops and sustains a level of professionalism and acts as an ambassador of the organization for internal and external purposes
    • Works independently to oversee multiple projects simultaneously and is responsible for contributing to business strategies
    • Stays up-to-date on trends, policy, best practices, and education

    Qualifications and Requirements:

    • Bachelor’s degree with six (6) years of experience as an Operations Manager, Product Manager, Program Manager or related
    • Excellent verbal and written communication skills.
    • Excellent attention to detail and research
    • Superior conflict management skills
    • Proven analytical quantitative, negotiation, and decision-making abilities in order to meet our goals.
    • Proven experience in effecting change, driving organizational design by working collaboratively and cross –functionally
    • Demonstrated ability to work in partnership with others and coordinate a working team in the accomplishment of a project.
    • Proactive and highly adaptable self-starter with proven persistence and resilience when faced with challenging tasks
    • Experience working directly for a Vice President or high-level executive

     

    Preferred Skills

    • Prior experience in social service, human service or programming
    • Bilingual

    Physical Demands:

    Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. While performing the responsibilities of this job, the employee must be able to access all components of work station and other office equipment. Frequent typing, writing, bending and twisting. Must be able to lift up to 10 pounds

    Work Environment:

    General office environment with moderate noise. This position is mostly sedentary, involves sitting most of the time, but may involve walking or standing for brief periods of time. A busy environment with many unscheduled interruptions. Frequent computer use at workstation for extended periods of time. Public contact position requiring appropriate business apparel.
