  • Job Summary:

    The Wellness and Recognition Program Administrator is responsible for providing support to the wellness and recognition programs.   The Wellness and Recognition Program Administrator handles logistics and administrative duties associated with support of the wellness/recognition team, including meetings, event planning, travel, briefings, and office management. Position requires a minimum of 20% travel.

    Essential Functions:

    • Assist in the development and maintanence of written wellness policies, procedures and practices.
    • Develop and maintain various databases for wellness and recognition programs using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Access to produce records, spreadsheets, and databases as requested.
    • Work with wellness/recognition team to arrange a variety of events at multiple locations such as wellness fairs, 5K.
    • Reconcile and administer employee services reimbursements and incentives.
    • Build relationships with management and employees at multiple locations to gain participation in various programs and initiatives.
    • Assist with preparation, review, and administer program budgets.
    • Prepare check requests, invoices, reports, memos, letters, financial statements and other documents in an accurate and timely manner, using word processing, spreadsheet, database, or presentation software.
    • Assist in the development and distribution of marketing for wellness and recognition initiatives. Generate newsletters and other promotional correspondence.
    • Use content management systems to maintain and update websites and internal databases, including social media.
    • Design and implement promotional and motivational programs including preparing brochures and materials on fitness, nutrition, wellness, and recognition to provide ongoing employee communications.
    • Partner with Southwest Key leadership to ensure all talent, reward and organization development practices are delivered and communicated effectively to create a culture and environment that is supportive of employees’ heath, well-being, and performance.
    • Organize and coordinate system-wide projects. Plan and consult with others as necessary.
    • Assess employee’s health risks utilizing health risk appraisals and screenings.
    • Collect data to drive programming efforts present to executive management team.
    • Evaluate and monitor program needs, identify unmet needs and revise services as program needs change.
    • Deliver trainings and presentations directly to staff across the organization.
    • Perform all administrative duties to support the wellness/recognition team.
    • Manage department intern(s) including development, coaching, training, and performance management.
    • Acting as backup support for all wellness/recognition team members.
    • Attend all organizational and program trainings as required.
    • Regular and punctual attendance.

    Other Functions:

    • Respond to inquiries concerning Employee Services in a timely manner.
    • Able to react to change productively and handle other essential tasks as assigned.
    • Champion skills and assets that promote Southwest Key supervisors to be strong ambassadors of Southwest Key to various internal and external stakeholders.
    • Proactively stay up-to-date on trends, best practices, and education within the wellness and recognition industry

    Qualifications and Requirements:

    • A Bachelor’s degree with two years of relevant experience.
    • Excellent verbal and written communication skills.
    • Ability to work in partnership with others and coordinate a working team in the accomplishment of a project.
    • Excellent attention to detail and research and analytical skills.
    • Ability to meet deadlines and to take initiative.
    • Proficiency in use of computer skills including but not limited to Word, Excel, PowerPoint, SharePoint, and Microsoft 365.

    Preferred

                Bilingual (English/Spanish).

    Physical Demands:

    Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. While performing the responsibilities of this job, the employee must be able to access all components of work station and other office equipment. Frequent typing, writing, bending and twisting. Must be able to lift up to 20 pounds

    Work Environment:

    General office environment with moderate noise. This position is mostly sedentary, involves sitting most of the time, but may involve walking or standing for brief periods of time. A busy environment with many unscheduled interruptions. Frequent computer use at workstation for extended periods of time. Public contact position requiring appropriate business apparel.
