  • Job Summary:

    The Executive Assistant will be responsible for handling a wide range of administrative support for high level executives at Southwest Key Programs. This person must be especially well organized, flexible and enjoy the challenges of supporting an Executive Management Team of diverse people and programs. Expert level written and verbal communication skills, strong decision making ability and attention to detail are important in this role.

    Essential Functions:

    • Serves as primary point of contact and liaison with all internal and external contacts.
    • Keep an organized schedule of appointments, events, meetings, travel itineraries, and conference calls while coordinating catering and other resources needed.
    • Draft, proofread and send out office correspondence as requested.
    • Arranges corporate travel and meetings by developing itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations.
    • Manages all procurement card and invoice reconciliations.
    • Prepare and submit all expense reports, payment forms, time off request and monthly time sheets.
    • Track deadlines on key projects and action items and follow-up.
    • Project management for department initiatives and processes.

    Other Functions:

    • Maintain a professional and candid demeanor at all times to ensure you are behaving in a manner that is in alignment with executive image and company reputation and brand.
    • Uphold a strict level of confidentiality.
    • High level competency in Microsoft Excel
    • Occasional travel and weekend work may be required.
    • Performs other duties as assigned.

    Qualifications and Requirements:

    • Bachelor’s degree with at least one (1) year of experience providing office/administrative support in a fast-paced, professional environment; or Associate’s degree with at least two (2) years of experience providing office/administrative support in a fast-paced, professional environment;
    • Patience and flexibility during high-pressure situations;
    • Ability to prioritize;
    • Effective team player;
    • Strong initiative and self-disciplined work habits;
    • Strong working knowledge of Microsoft Word, Excel, Outlook and SharePoint preferred;
    • Working knowledge of project management tools like Asana or similar
    • Superior ability to manage a large number of task simultaneously and proven ability to consistently meet deadlines with excellence;
    • Exceptional ability in written and oral communications; and
    • Demonstrated ability to earn and maintain trust with regard to confidential and sensitive information.


    Bilingual (English/Spanish).

    Experience with event planning.

    Physical Demands:

    Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. While performing the responsibilities of this job, the employee must be able to access all components of work station and other office equipment. Frequent typing, writing, bending and twisting. Must be able to lift up to 10 pounds. Must be able to drive either personal or company vehicle.

    Work Environment:

    General office environment with moderate noise. This position is mostly sedentary, involves sitting most of the time, but may involve walking or standing for brief periods of time. A busy environment with many unscheduled interruptions. Frequent computer use at workstation for extended periods of time. Public contact position requiring appropriate business apparel.
