Job Summary:

 

The UM Operational Budget and Procurement Support will work closely with the Vice President of Operational Budget and Procurement. They will contribute to the development and execution of budgeting processes, financial planning, and procurement strategies. Your responsibilities will include supporting budget creation, monitoring financial performance, assisting in procurement activities, and ensuring compliance with financial policies.

Essential Functions:

  • Support the VP in the development and maintenance of annual operational budgets.
  • Assist in gathering and analyzing financial data to facilitate budgetary decision-making.
  • Contribute to financial analyses to identify trends, variances, and opportunities for improvement.
  • Prepare regular reports for internal use and external stakeholders.
  • Assist in procurement, including vendor research, bid evaluation, and technical support.
  • Maintain accurate records of procurement activities and contracts.
  • Ensure adherence to financial regulations and organizational policies.
  • Maintain comprehensive documentation related to budgets and procurement activities.
  • Collaborate with various departments to gather budget-related information and ensure alignment.
  • Communicate effectively with vendors and internal stakeholders regarding procurement processes.
  • Contribute ideas for optimizing resource allocation and improving operational efficiency.
  • Assist in identifying cost-saving opportunities without compromising quality.
  • Technical support to program operations

Other Functions:

  • Develop and maintain project plans for new budgeting projects, financial and procurement strategies, and proactively manage timelines.
  • Other duties as assigned by supervisor.

Qualifications and Requirements:

  • Bachelor’s degree in finance, Business Administration, or a related field.
  • Minimum of three (3) years of experience in financial analysis, budget support, or procurement.
  • Previous experience in a nonprofit environment.
  • Strong analytical skills with the ability to work with financial data and perform fundamental analyses.
  • Available to undertake frequent and extended travel as required.
  • Bilingual (Spanish/English) Preferred

Physical Demands:

Must be able to drive and travel, as needed. Other requirements include daily use of various office equipment, frequent typing, writing, bending, twisting, stooping, climbing upstairs, and lifting to 15 lbs. of items that may be required to complete tasks. Must be able to read, write, and communicate verbally and in writing to express and exchange ideas.

Work Environment:

General office environment with moderate noise. This position is primarily sedentary and usually involves sitting, but it may include walking or standing for brief periods. A busy environment with many unscheduled interruptions.

Frequent computer use at a workstation for extended periods. Public contact position requiring appropriate business apparel.
